1. Introduction
This Acceptable Use Policy ("AUP") governs your use of the SyncLead platform operated by SYNCLEAD LTD (Company Number: 15903993). This AUP is incorporated into and forms part of our Terms of Service.
SyncLead is a B2B sales engagement and lead nurturing platform designed for legitimate business-to-business communications. This AUP exists to protect our users, our infrastructure, and the broader email ecosystem.
2. Permitted Uses
SyncLead is designed for the following legitimate business use cases:
- B2B Sales Engagement: Communicating with business contacts who have opted in to receive communications from you, expressed interest in your services, or with whom you have an existing business relationship.
- Meeting Scheduling: Sharing booking links to facilitate calendar scheduling with prospects, clients, and business partners who have engaged with your business.
- Lead Nurturing: Automated follow-up sequences to engage prospects who have expressed interest, signed up for your content, attended your events, or are part of an existing sales conversation.
- Lead Re-engagement: Reconnecting with contacts who have previously interacted with your business, downloaded resources, attended webinars, or otherwise shown interest in your products or services.
- CRM Synchronisation: Syncing contacts, meetings, and email activity with your CRM platforms (HubSpot, Salesforce, Clay) for pipeline management.
- Client Communication: Managing ongoing communication with existing clients and partners.
3. Prohibited Activities
The following activities are strictly prohibited on the SyncLead platform:
3.1 Spam and Unsolicited Messaging
- Sending unsolicited bulk emails to purchased, scraped, or harvested email lists without legitimate business interest.
- Sending emails that violate CAN-SPAM, GDPR, CASL, or other applicable anti-spam legislation.
- Failing to honour opt-out or unsubscribe requests within the legally required timeframe.
- Using deceptive subject lines, falsified headers, or misleading sender information.
3.2 Malicious and Harmful Content
- Distributing malware, viruses, ransomware, or any harmful software through emails.
- Phishing — impersonating individuals, companies, or institutions to deceive recipients.
- Sending content that promotes illegal activities, violence, hate speech, or harassment.
- Using SyncLead to facilitate financial fraud, scams, or deceptive business practices.
3.3 Platform Abuse
- Attempting to circumvent email provider rate limits or SyncLead's built-in sending limits.
- Using SyncLead to send B2C (business-to-consumer) marketing emails without opt-in consent.
- Creating multiple accounts to evade enforcement actions or usage limits.
- Reverse engineering, scraping, or attempting to extract proprietary data from the Platform.
- Sharing account credentials with unauthorised third parties.
3.4 Violations of Third-Party Terms
- Violating Google's Terms of Service or Google API Services User Data Policy through connected Google accounts.
- Violating Microsoft's Terms of Service or Microsoft Graph API Terms through connected Microsoft 365 accounts.
- Violating the terms of service of any connected CRM platform (HubSpot, Salesforce, Clay).
4. Contact Import Requirements
When importing contacts into SyncLead for email sequences, you must ensure that:
- All contacts have a legitimate business interest or have opted in to receive communications from you.
- Contact data was obtained through lawful means and not through web scraping of personal email addresses or unauthorized access.
- Any contacts from data enrichment platforms (such as Clay) were obtained in compliance with those platforms' terms of service and applicable data protection laws.
- You maintain records of the lawful basis for contacting each person, as required by GDPR or other applicable regulations.
5. Sending Limits and Best Practices
To maintain healthy sender reputation and protect the email ecosystem, SyncLead enforces the following guidelines:
- Respect the sending limits associated with your subscription plan.
- Follow email warm-up best practices for new or dormant email accounts.
- Maintain bounce rates below 5% and spam complaint rates below 0.1%.
- Use SyncLead's built-in deliverability features (send windows, throttling, warm-up) as intended.
6. Monitoring and Enforcement
SyncLead monitors platform usage for compliance with this AUP. We may take the following actions in response to violations:
- Warning: For minor or first-time violations, we may issue a written warning with instructions to remedy the issue.
- Suspension: For serious or repeated violations, we may temporarily suspend your account and associated campaigns pending investigation.
- Termination: For severe violations (spam, malware, phishing), we reserve the right to immediately terminate your account without prior notice. No refund will be issued for accounts terminated due to AUP violations.
7. Reporting Violations
If you believe a SyncLead user is violating this Acceptable Use Policy, please report it to us:

- Include as much detail as possible: the email received, sender information, and why you believe it violates this policy.
We take all reports seriously and will investigate within 48 hours.
8. Changes to This Policy
We may update this Acceptable Use Policy from time to time. Material changes will be communicated via email or through the Platform at least 30 days before they take effect.
